Document by Document — What to Look For
1. Aadhaar Card (Both Sides)
Aadhaar is India's national identity document and the most reliable form of ID. Collect both the front (with photo, name, DOB) and back (with address). Verify that the photo matches the person in front of you.
Never photocopy or store the full Aadhaar number unnecessarily. You can mask the first 8 digits and store only the last 4. The Supreme Court has guidelines on Aadhaar usage by private entities.
2. PAN Card
PAN is required for any financial transaction above ₹50,000 and is a reliable identity document. If your monthly rent is above ₹50,000, you're legally required to collect your tenant's PAN under Form 60 rules.
3. Employment Proof
This is your most important financial verification document. Accept any of the following:
- Latest 3 months salary slips
- Offer letter from employer
- Employment ID card
- Bank statements showing salary credits
- For self-employed: GST registration or business registration certificate
4. Passport (for Foreign Nationals)
If your tenant is a foreign national, passport is mandatory. You must also register them with the local Foreigners Regional Registration Office (FRRO) within 24 hours of their arrival — this is a legal requirement.
